Choosing the right preschool or child care provider for your little one, whether an infant or toddler, is arguably one of the most important early decisions we make as parents. After all, this is the place where your child will be spending significant portions of time. Depending on your schedule and needs, your child may even spend more time with their caregiver than with you. So, no pressure, right?
Needless to say, it can be a daunting task. For some parents, child care is picked out before the pregnancy test comes back positive. This might seem extreme, but demand can be high and lists can be long for some of the more exclusive providers. Then, there are people like me who go for more of a “procrastinate then panic” method of selection. I wouldn’t recommend the latter, so hopefully for the rest of you, there’s a happy medium.
Regardless of where you fall on the spectrum, we all share one thing in common. And that is an understanding that finding the right place for our little ones is paramount to their development and our peace of mind.
The good news is that finding the perfect place for your baby to learn, grow and develop doesn’t have to be an impossible task. With careful thought and planning – and most importantly, a clear understanding of your specific needs and environmental requirements – it’s easier than you might think to narrow down the options and land in just the right place.
Knowing where to start can go a long way in making a child care decision. And that’s what we’re here for. The following steps will help you break down the process and provide a clear path for finding the perfect provider for your little one – and for you.
Get a Head Start
Most professional child care organizations recommend that you start your search at least six months before you’re going to need it. Before you panic, that doesn’t mean that it will take you six months, it just means that there is a lot that goes in to the process. With good childcare in high demand, top-ranked centers will fill up fast. Likewise, you’re going to want to give yourself plenty of time to do your research and make your final decision.
Identify Your Priorities
Knowing what you want is paramount to your child care search. Do you want in-home care with just a few other kids or would you prefer a center that provides more socialization? Do you want something close to home or close to your work? What is your budget? Do you have educational goals for your child (Montessori style instruction, early childhood development, multi-language exposure, etc.)?
Picture your ideal scenario and make a list of what you want in order of priority. As you begin your search, you’ll be able to narrow down your preferred providers based on what they offer compared to what you want.
See What’s Out There
Fortunately, Richmond does offer a wide range of preschool and child care services – from churches, to nannies, to highly reputable and accredited early childhood education centers. So where to begin? Start by seeking recommendations from friends and family. Find out what providers they suggest and talk to other parents who use, or have used, the same providers.
But don’t worry if you are new to the area or don’t have an extensive network of mom and dad friends to ask. There are also a number of highly reputable websites, both local and national, that can match your preferences and needs to local providers.

NAEYC for Families – The National Association for the Education of Young Children provides national accreditation for childcare centers. Their comprehensive approval process means that their accredited facilities are backed by high standards. Visit their site to find local NAEYC providers, as well as other resources for families.
Child Care Aware – Visit them online or call their resource hotline (800-424-2246) to learn more about local licensed providers. You can search for providers online or ask for lists of accredited centers in your area.
NAFCC – The National Association of Family Child Care, like the NAEYC, provides nationally recognized accreditation for child care providers. Check out their database of accredited centers if that is an important factor for you.
Care.com – This well-known site has become a go-to for many when it comes to finding child care, from long-term care to occasional babysitters. Care.com is best for finding home-based care, but remember, while they provide initial, preliminary background and criminal database checks, doing your own follow-up research is highly recommended.
Fire Up Your Research Skills and Start Digging In
Here comes the hard part. I only say “hard” because research is the crux of it all. Knowing everything you can about the person or people who are caring for your child is essential. While you absolutely want to visit a place in person before committing to anything, much of your research can be done beforehand. Check websites or even schedule phone interviews before setting up in-person visits. Here’s a quick look at some of the things you should be looking for:
- Licensing
In Virginia, child care providers are not required to obtain a state license, whether at home or at a center. In fact, Virginia has four types of care standards:
- Licensed – these centers and home-based providers are inspected twice yearly by the Virginia Department of Social Services (VDSS) and have requirements for background checks, training and health, and safety.
- Unlicensed, but regulated – while these locations do not have the same formal procedures as a licensed center, they do have varied requirements, including certifications that must be renewed every two years, self-certified background checks for staff and health and safety compliance certification.
- Approved – these providers are regulated by local entities but are only sanctioned in a few Northern Virginia counties, including Arlington, Fairfax, and Alexandria.
- Unlicensed and Unregistered – these locations are not subject to any of the requirements for licensed providers, including background checks or training. Likewise, they are not inspected by the VDSS.
Visit the VDSS website to learn more about Virginia childcare regulations, but be sure to ask any potential provider if they have a license. They should be able to show you a copy of the license if you ask. Of course, licensing is not necessary for good care. Certain religiously exempt establishments and home-based providers may not have licensing, but still have the credentials you are looking for. Just be sure to do your research.
- Ratios and supervision
Next, find out the provider/teacher-to-child ratio. An overcrowded home or daycare center can be an accident waiting to happen and you want to know that your child is being supervised at all times, even when sleeping. According to the experts, the ideal ratio is one provider per three to four infants or young toddlers; one provider per four to six older toddlers; and one provider per six to nine preschoolers.
- Teacher Training
While a rigorous early education program may or may not be at the top of your priority list, there are few of us who wouldn’t want our children to benefit from an educationally stimulating environment. Find out if your child’s provider carries a formal teaching degree, and if not, what sort of early childhood education training or certification they have and if they receive additional training on a regular basis.
- Health and Safety
Some health and safety standards may fall under basic licensing guidelines, however, also consider day-to-day procedures for activities like hand washing, dealing with illness and diaper changing. Ask about emergency procedures in the event of a natural disaster or other emergencies, as well. Finally, check for basic cleanliness. While you know your child will probably end up eating Cheerios off of your floor or sticking the dog’s toy in his mouth, it’s nice to know that their daily care includes a clean, germ-free environment – at least until they get home.
- General Philosophy: in other words, do you and your provider agree?
This is a standard that only you can set. My kids love the movie, Daddy Daycare, in which Eddie Murphy opens a home-based childcare center after realizing that the only viable option in town was a private school offering educational programs with all the gentleness of a Marine boot camp. While I’m not sure I want Eddie Murphy guiding my kids on their early educational journey, I don’t necessarily feel that my kids need to be ready for Oxford by 2nd grade. What I do want is to know that whoever cares for them is providing an appropriate balance to the care I provide at home. If you feel that a strict program of learning is important, then make sure your provider feels the same way. Likewise, if a more relaxed environment or “creative learning” is what you’re looking for, be sure that your child will be comfortable in the setting you choose. Most importantly, make sure that you can communicate openly and honestly with your provider and that your voice is heard.
Make Your Short List and Start Visiting
Now that you’ve got an idea of what you want and who provides it, go see them for yourself. You’ll be amazed at how quickly your parenting instincts kick in. Some places will be a “no” from the moment you step in the door – not necessarily because there’s anything wrong with the care provided, but it’s just not right for you. However, other places will strike just the right cord.
Now, there’s good news and bad news. The good news is that your mama radar is working with the precision of NASA satellite. The bad news is that you still need to make a choice!
If you have a few places narrowed down, each meeting your educational and environmental priorities, it’s time to get to the nitty-gritty. By this, I mean location and cost.
Location
The location of your child care depends on a few factors. If your workplace is far from home, you may want to find something close to work rather than home so that you are easily accessible in the event of an emergency or sudden illness. Likewise, if you have a young infant, you may want to be able to pop-in for a lunchtime visit or to breastfeed. Talk to your partner about who will be the primary drop-off and/or pick-up person, making sure that someone you trust can get to your child easily at any time of day. Also, many centers and even home-based providers will charge an additional fee for late pick-up. If you tend to have late afternoon meetings, you probably want to be in a position to avoid rush hour traffic jams.
Cost
It’s hard to put a price tag on peace of mind – especially when it comes to our kids. But with childcare regularly ranking as American families’ highest monthly expense, even over housing costs, it doesn’t hurt to take a closer look. Find out if your preferred center offers any of the following:
- Sliding Fee Scales – some providers set child care costs according to a family’s income, with reduced rates for lower-income families.
- Payment Plans – a payment plan allows you to pay in slightly more creative ways that will help you manage your monthly budget. This might mean larger, but less frequent, installments, or smaller, more frequent payments.
- Local Assistance or Scholarships – sometimes local non-profit organizations will provide need-based assistance or centers themselves may offer scholarships programs.
- Sibling Discounts – most licensed childcare centers offer reduced rates when more than one child from the same family attends their program.
- Military Discounts – for many childcare centers and providers, military service matters. If you or your partner serve, or have served, in the military, ask about discounts.
Even with all the steps broken down, it may seem like a lot of information to process.
